Job Summary
The Production Coordinator oversees the production of BetterInvesting Magazine. Also manages the production of digital publications and other print pieces. Controls production activities, establishing the flow of work between organizational units and/or the organization and other businesses.Serves as principal resource for staff, authors, publishing representatives, distributors, and others on procedure, program, policy and production activities; establishes schedules and priorities, and ensures on-time, quality production process.
This is a part-time position – estimated at 50-60 hours per month. Schedule is flexible, as aligned with organizational needs.

Essential Functions
- Prepare specifications and cost estimates for print and digital publishing; make adjustments to specifications as required to meet needs; prepare specifications for quotations for suppliers; evaluate quotations and quality of work, and make recommendations accordingly.
- Collaborate with others such as graphics and marketing personnel on projects to determine best options for production. Supplies cost analysis and provides alternatives to minimize expense and maximize value.
- Prepare purchase orders for procurement of print and production materials and processes. Obtains competitive bids, compare prices, specifications, delivery dates, etc.; recommends award of contract to vendors for print production services, following company policy.
- Establish production schedule, including identification of priorities, coordinating flow of work within or between departments to expedite production and minimizes expenses. Monitor production progress, investigate delays, recommends appropriate actions to ensure schedules are met. Create date table for Member Service Representatives to use to help identify which first issue a new member should receive by mail.
- Liaison to Magazine print/mail vendor including preparing reports for each issue that cover quantity, paper usage, mailing lists, forms required for mailing and distribution issues. Confers with others (internal/external, publishing, creative, production, mailing list resources, etc.) to establish production and quality-control standards, monitor progress, resolve problems, etc.
- Liaison to vendor for digital assets including digimag and magazine app. Manage magazine webpages to post digital assets each issue.
- Interface with outside vendors including print vendors, digi vendor, mail vendors, USPS, trinket vendors, etc.
- Establish production schedule and ensure printing deadlines are met.
- Prepare digital files and upload files to the printer. Upload, review and approve each page for each issue of the magazine. Work with the pre-press team at the vendor to ensure all pages are on their portal and approved. This process includes working closely with the team to make sure all pages are prepped to specs and meet all guidelines.
- Review mail samples that are sent by vendor mail team. Manage select distribution lists. Send Member Service Representative files for researching incorrect or missing addresses based on the information received during approval of mail samples.
- Monitor budget expenditures; review and verify invoices; provide ad breakdown to maintain postal rates; maintain related budgetary records.
- Research and recommend new method and tools for print and digital publishing.
- National Convention production support.
- Oversee the distribution of digital publications in both association and public channels.
- Create and produce chapter postcard and newsletter mailings by working closely with Chapter Services team as well as volunteer chapter representatives.
- Support limited print production needs of subsidiary.
- Produce bound versions of Magazines for each calendar year.

Desirable (but not required) Experience: Five years of print production/print buying experience and two years of related experience in magazine or book publishing. Graphic design certificate a plus.
